Job Title: Legal Secretary - Commercial Property Department


Responsible to: Commercial Property Director and the wider Fishers Solicitors team

Reporting to: Ian Riley - Director - Commercial Property

We’re a friendly law firm based in an office park on the edge of Ashby-de-la-Zouch. Our new office is open plan, modern and bright. The firm has been in Ashby for approximately 200 years. We’re a thriving business and we work hard and love what we do. Our Commercial Property team is one of our busiest and we are looking to grow that department with the help of a Legal Secretary.


About the role

Our Legal Secretary will provide direct support to our fee earners within the Commercial Property Team. This will include (but will not be limited to) the main responsibilities given below. Our Legal Secretary will be expected to use a high degree of self-management and initiative.

Main Responsibilities

To prepare correspondence and documents through audio-typing and word processing;

  • To record all client and matter details on the PMS and set up new files, and ensure that the transaction files are kept up to date;
  • To use the PMS where appropriate for document production.
  • To type/draft e-mails and e-mail documents when appropriate, and to check e-mails for fee earners;
  • To comply with all case management quality standards as laid down in the office manual and in accordance with Solicitors Regulatory Authority’s requirements;
  • To arrange copying and scanning of documents where required;
  • To make appointments, arrange meetings and to maintain an up-to-date diary for fee earners;
  • To attend clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the firm’s standards for client care;
  • To take and record accurately any messages and pass them to the appropriate person;
  • To record accurately and legibly any attendance details following discussions with the client and ensure that they are logged on the client matter;
  • To provide support to other secretaries as required;
  • To undertake any specific training when required to do so, and overall to have a responsibility towards self-development;
  • To ensure the confidentiality of all of the firm’s and clients’ documentation and information;
  • To comply with the terms of the Office Manual and any other reasonable request that may be made by the Head of Department or another Director.


Skills, qualifications and experience:

  • Have secretarial experience in Commercial Property
  • Must have good telephone manner
  • Must be able to work as a team member and also be able to work on own initiative
  • Must be proficient with Microsoft ‘Word’, ‘Excel’ and ‘Outlook’
  • Preferred to be proficient with Land Registry and HMRC applications
  • Attention to detail and excellent spelling/grammar is essential
  • We will consider applicants from non-legal sector environments.
